We recommend that your records should be considered for transfer to the
College Archives when they are no longer used on a regular basis (usually
3-5 years).
Documents of permanent value include administrative, fiscal, historical and
legal records. See the complete list of suggested items under "Suggested
Materials for Transfer to Archives".
When in doubt, contact Sharron Uhler, Archivist, at suhler@jccc.edu or leave a message at
913 469 8500 extension 4701. For the college year 2005-2006, Sharron Uhler
is available Monday evening and Saturday morning in room 357A.
Procedures for Transferring Materials to the Archives:
- Pack material neatly in strong boxes with lids. (The best kind of box to use is a records carton that has handles and a lid. Please note that the long, large "banker's boxes" are too heavy for us to handle. If you do not have boxes, contact the Archives and we will provide them.)
- Stand the folders in the box with the labels facing up and in the same direction.
- Never cram the boxes so full that they are likely to burst open while being carried.
- Include a listing of all the folder titles or items in each box and keep one for yourself.
- Identify unmarked items whenever possible. For photographs, photocopy them and write the information on the copy, not the original.
- Do not use ball point pen, felt tip or gel pens to mark photographs.
- Contact the Library Office at extension 3288 to let them know that you have materials coming to the Archives.
- Once the Archives has received your records, you will receive your copy of our records transfer form.
