Suggested Materials for Transfer to the Archives
Items to be transferred include:
- Official records such as constitutions and by-laws, minutes and proceedings, transcripts, lists of officers and members
- Office files such as correspondence and memoranda (incoming and outgoing) and subject files concerning projects, activities and functions
- Historical files documenting policies, decisions, committee and task force reports, survey data
- Publications such as two record copies of all programs, journals, monographs, newsletters, brochures, posters and announcements issued by the organization or its subdivisions; the Archives should be placed on the mailing list to receive all future publications
- Audiovisuals, photographs, sound and video recordings and films
- Personal papers of students, faculty and staff which relate directly to the college's work
- Faculty publications (autographed is great!)
- Charts and maps
- Membership lists and directories
- College catalogs (credit and continuing education)
- Student organization materials (committee files, publications, art work, memorabilia, photographs, etc.)
- Oral histories
- Reports and speeches
- Architectural blueprints
- Syllabi and lecture notes
- News clippings relating to college happenings and personnel
- Artifacts relating to the history of the college
- Paintings, drawings, caricatures, statues, needlework, etc. relating to the college
- Ephemera such as business cards, post cards, tickets, menus, award certificates, invitations, etc.
If you are unsure about something, don't pitch it out. Save it and send it
to the Archives! We will help you make the decision.
